Research in the State Archives is free and open to all.
In order to ensure the conservation of documentary material and the efficiency of operations of the Study Room, staff, researchers
and users are required to observe these regulations.
1. To be admitted to the Study Room, an annual application for admission to consultation must be filled out in full. It will be available upon entry.
2. Coats, bags and briefcases must be left in the lockers at the entrance. You may bring your mobile phone and/or camera.
3. In the Study Room, only the use of writing materials necessary for research is permitted; all those tools that may stain or damage documents (pens, markers and similar) are excluded. It is not permitted to consume or bring food or drinks into the Study Room, while mobile phones must be turned off or set to silent mode.
4. Users are required to affix a readable signature to the attendance register.
5. The materials/inventories available on the institutional website and in the Study Room can be freely consulted and can be reproduced only for personal.
6. Requests to consult documentary material must be made by prior reservation (by 12 noon on the working day preceding the day requested) via email to as-vb@cultura.gov.it according to the following methods:
up to a maximum of 5 archive units and 3 bibliographic units per person;
there are 3 available time slots: from 08.30 to 10.30, from 10.30 to 12.30, from 13.15 to 15.15. In the case of particularly long and complex historical research, it is possible to reserve a station for more time slots, if available;
in the booking email it is necessary to indicate precisely the collection, series and number of the requested archival unit (the information is available on the online inventories published on the institutional website and on the inventories present in the study room itself); preferred day and time slot, the name of the person who will access. It is necessary to wait for a confirmation email from the Institute. Access will not be granted to companions not indicated in the email at the same time.
7. The maximum capacity of the Study Room is set at 2 users for each time slot (maximum 6 users per day).
8. It is not possible to continuously guarantee qualified assistance from archive staff in the Study Room; research must be conducted independently by the researcher. If specialized archive assistance is needed, it is advisable to notify us well in advance when booking. For any general information and information relating to the handling of archive units (see the following art. 11), you can contact the security staff who are constantly present in the Study Room.
9. Each user can only consult the documentary material booked in advance; impromptu requests for additional archive units will not be accepted.
10. Library material placed on open shelves in the Study Room can be consulted freely; material in storage can be requested in advance by booking via email for a maximum of 3 units per day. The loan service is not provided.
11. Users are required to open only one folder at a time on their table, taking care to carefully close it after consultation and place it on the trolley; to strictly maintain the order of the papers within each archive unit and any internal folder; to handle the documents with care; not to write on them or make any kind of marks; not to make cancellations; not to force the bindings of bound volumes during opening (special supports can be requested) or to detach any pages that are stuck together.
12. It is not permitted for any reason to leave your station with the documents being consulted. In the event of temporary departure from the study room, it is mandatory to notify the security staff who will provide temporary custody of the documentary material.
13. Once the consultation is finished, the archival material must be carefully closed and placed on the trolley; if requested, it can be kept in storage for no more than 10 working days. Each user can keep in storage up to 3 archival units. Freely consultable bibliographic material must be placed on the shelves in the exact position.
14. Users are not allowed to execute photocopies by themselves. It is possible to use the internal photocopying service or use your own cameras by filling out the appropriate form available in the Room. The photocopying service is carried out according to the methods set out in the Regulations themselves (Annex 1).
15. The Management may at any time exclude from consultation and/or photocopying documents that are not ordered, not inventoried, under restoration or whose state of conservation makes such a measure necessary.
16. Checks on the state of the documents and on the methods of use may be carried out by the staff. Users caught committing violations of these Regulations may be removed from the Institute or, in cases provided for by law, reported to the competent Authority and to the Ministry of Culture for a possible measure of exclusion from the State Archives.
17. The area is subject to video surveillance for security reasons. The footage taken will be processed in accordance with the current legislation on the processing of personal data by the Director of the Institute.
